How universities can move beyond pilots and deliver measurable transformation through a unified AI platform.
Almost every university in the UK has experimented with AI — but only a handful have turned those pilots into measurable transformation. On October 29, ICS.AI hosted its Higher Education AI Transformation Webinar in partnership with Derby City Council, Jisc and Microsoft, bringing together leaders from across education and technology to explore one critical challenge: How can AI move from small-scale pilots to delivering genuine, measurable transformation across entire institutions?
The answer, as the speakers made clear, lies in adopting a unified, strategic approach - one that focuses on scalability, responsibility, and proven results.
The Challenge: Doing More with Less
Just like local authorities, universities and colleges are now facing mounting financial and operational pressures – tightening budgets, growing expectations, and increasingly complex digital ecosystems. On top of that, institutions must prepare staff and students for an AI-enabled future - without compromising on equity, compliance, or trust.
“Universities and colleges urgently need scalable, responsible and ethical AI solutions that deliver real operational impact,” said Michael Webb, Director of AI at Jisc.
“The work ICS.AI has done with Derby City Council offers valuable insights into how AI can be applied in practice to deliver practical measurable benefits across the education sector.”
Proven Results: Lessons from Derby
To understand how AI can deliver institution-wide change, the webinar looked at Derby City Council - the UK’s first public sector organisation to complete a full AI transformation journey. ICS.AI’s structured transformation framework has delivered £7.5M in savings (to date) while improving service delivery across the council – a scalable and repeatable model now being applied to higher education.
“Derby’s results show that AI transformation isn’t just possible - it’s measurable,” said Martin Neale, CEO at ICS.AI. “We now have the blueprint for how universities can achieve the same kind of sustainable impact, from reducing administrative load to enhancing student services.”
From Pilots to Platforms
A recurring theme throughout the session was the danger of fragmented AI adoption. Many universities have launched isolated pilots with AI chatbots or analytics tools, but few have turned these into institution-wide change.
The speakers emphasised that lasting success depends on a unified AI platform - not fragmented pilots. ICS.AI’s SMART: Unified Platform provides the foundation for this transformation, combining site-wide licensing, structured transformation programmes, and guaranteed savings.
“The sector is at a turning point,” explained Dr. Cris Bloomfield, Chief Education Solutions Officer at ICS.AI, “We can’t afford to stay in pilot mode. A unified approach ensures equity, compliance, and measurable efficiency for everyone - students, staff, and leadership alike.”
Why It Matters
Beyond efficiency, AI in higher education can re-engineer how institutions operate - from student recruitment and support to staff productivity and data-driven decision-making.
As Matt Townsend from Jisc put it, "The goal is to ensure AI delivers the right thing at the right time.” With the right frameworks in place, universities can move from reactive experimentation to proactive transformation - combining human expertise with intelligent automation to enhance teaching, learning, and administration.
What’s Next
To wrap up the event, Andrew Smith, ICS.AI’s Chief Customer Officer, outlined practical next steps for universities looking to begin their own transformation journey. Attendees were invited to take part in the SMART: Unified AI for All Test Drive - a free 14-day hands-on experience designed to help institutions explore how AI copilots and automation can support their unique goals.
The message from the day was clear: true transformation doesn’t come from pilots or point solutions - it comes from a unified, strategic approach.
With proven results like Derby’s £7.5M in savings, the path forward for higher education is no longer hypothetical. It’s here, it’s measurable, and it’s ready to scale.
