LGA Conference and Exhibition 2026 — Terms and Conditions

Eligibility

The prize draw is open to attendees of the LGA Conference and Exhibition, held at the Bournemouth International Centre on 7th - 9th July 2026, who are residents of the United Kingdom and are aged 18 years or over, and enter using an official public sector email address (see Entry Conditions below). Employees of ICS.AI, the Local Government Association (LGA), Bournemouth International Centre, or the event organisers, their family members, or anyone else connected with the event or the promotion may not enter the prize draw.

Entry Conditions

Entry to the prize draw is free. No purchase or payment is necessary to enter or win. Participants enter the draw by scanning the QR code displayed at the ICS.AI exhibition stand and completing the short online sign-up form.

Only one entry is permitted per person for the duration of the event. Where an individual submits the form more than once (including on more than one day of the conference), only the first valid entry received will be counted and any duplicate entries will be removed before the draw takes place.

Entries must be submitted using an official public sector email address (for example, a local authority, central government, or education-sector domain). Entries submitted using a personal or generic email address (including but not limited to Gmail, Yahoo, Outlook/Hotmail, and iCloud accounts) are not valid and will be excluded from the draw.

Prize Details

The prize consists of three (3) pairs of RayNeo X3 Pro AI+AR Smart Glasses (approximate RRP £1,299 per pair), each pair supplied in its standard retail configuration.

One pair will be awarded for entries received on Tuesday 7th July 2026.

One pair will be awarded for entries received on Wednesday 8th July 2026.

One pair will be awarded for entries received on Thursday 9th July 2026.

The prize is provided as-is and is subject to the manufacturer's own warranty and terms. No cash or other alternative will be offered in place of the stated prize, except at ICS.AI's sole discretion (for example if the specific item becomes unavailable), in which case a prize of equal or greater value will be substituted.

Winner Selection

Valid entries will be grouped into three pools according to the day on which they were received (7th, 8th or 9th July 2026). On Friday 10th July 2026, one winning entry will be selected at random from each daily pool using an independent online random number generator, resulting in three winners in total - one per exhibition day.

The draw will be conducted by a member of the ICS.AI marketing team. The organiser's decision as to the winners is final, and no correspondence will be entered into regarding the outcome of the draw.

Notification

Winners will be notified by email, using the address provided at entry, shortly after the draw on 10th July 2026. It is the responsibility of the winner to check their inbox (including junk/spam folders) and respond to claim their prize.

Claiming the Prize

Winners must respond to the notification email with their full name and postal address by 31st July 2026. Failure to respond and provide the required details by this date will result in the prize being forfeited, and ICS.AI reserves the right to select an alternative winner from the relevant daily pool or to withdraw the prize.

Shipping of Prizes

Prizes will be shipped to winners within the United Kingdom only. There will be no cost to winners for shipping, as ICS.AI will cover all associated costs. Prizes will be dispatched during the week following a winner's claim being verified, subject to product stock availability and courier delivery times.

Unclaimed Prizes

If a winner does not claim their prize by providing their name and UK delivery address by 31st July 2026, the prize will be forfeited. ICS.AI reserves the right, at its sole discretion, to offer any forfeited prize to another eligible entrant or to withdraw it entirely.

Data Protection and Marketing

Personal data supplied as part of this promotion will be processed in accordance with the ICS.AI privacy notice, available at ics.ai. By submitting an entry, participants agree to ICS.AI holding and using their details to administer the prize draw, and to receive email communications from ICS.AI about its products and services. Participants may opt out of marketing communications at any time by contacting marketing@ics.ai or using the unsubscribe link in any email received, without affecting their entry into the draw.

In accordance with the UK GDPR and the Data Protection Act 2018 (as amended by the Data Protection and Digital Information Act 2024), participants have the right to access, rectify, erase, restrict processing, object to processing, and request data portability in relation to their personal data.

Liability

ICS.AI is not responsible for any incorrect or inaccurate information, whether caused by attendees, printing errors, or by any equipment or programming associated with or utilised in the prize draw, including the QR code, sign-up form, or the online random number generator used to select winners. ICS.AI's liability for losses arising from this promotion is limited to the value of the prize, and ICS.AI will not be liable for any losses that were not foreseeable to both parties when the participant entered the prize draw.

Digital Fairness

In line with the UK Online Safety Act 2023 and the Digital Markets, Competition and Consumers Act 2024, ICS.AI is committed to conducting this prize draw in a transparent and fair manner, with clear terms and a consistent process for all participants.

Changes to the Terms

ICS.AI reserves the right to amend these terms and conditions, or to cancel, alter, or amend the draw or the prize, due to any circumstances that arise beyond its reasonable control.

Tax Implications

Any tax liability arising from the receipt or use of the prize is the sole responsibility of the winner. ICS.AI makes no representation as to the tax treatment of the prize and recommends winners seek their own advice if in doubt.

Public Sector Gifts and Hospitality

Entrants are responsible for ensuring that their participation in the prize draw and, if selected, acceptance of the prize is permitted under their employer’s gifts, hospitality, anti-bribery, procurement and conduct policies. The prize draw is intended as a promotional activity only. Entry into the prize draw, or the award of any prize, is not intended to influence, and must not be treated as influencing, any procurement, purchasing, evaluation or other decision relating to ICS.AI or its products or services.

Governing Law

This prize draw and these terms and conditions will be governed by English law, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

Acceptance of Terms

Participation in the prize draw constitutes the entrant's full and unconditional agreement to and acceptance of these terms and conditions.
